Privacy policy
In short: the POS is a point-of-sale program for a dry cleaner or laundry. It keeps the shop's tickets, customers and payments on the shop's own computer first, and in the shop's own cloud account if the shop turns cloud sync on. It never sees or stores a card number. It has no advertising, no analytics and no trackers, and we do not sell personal information.
1. Who this is about
The POS is run by EZ Cleaners Plus, 50 Foreston Woods Dr #107, Stafford, VA 22554, telephone (240) 386-7703 ("we", "the shop"). This policy covers the POS program and its companion screens (counter, station, driver, manager and work screens). The people whose information it holds are the shop's customers and the shop's staff.
If a different business uses its own copy of this software, that business is the one that holds its customers' information and decides what is done with it.
2. What the POS keeps
| About | What |
|---|---|
| Customers | Name, phone number, email, delivery address, notes, membership and store-credit balance, and whether they agreed to texts or emails. |
| Orders | Tickets, the garments dropped off, prices, due dates, status, pickup and delivery details, and photos of garments or damage when staff take them. |
| Payments | The amount, the way it was paid (cash, card, store credit), the time and who took it. For a card: the brand, the last four digits and Stripe's payment reference. Never the full card number, expiry date or security code. |
| Staff | Name, role, a PIN (kept scrambled, not readable), time clock entries, and a log of actions such as refunds and voids. |
| Drivers | While a driver has a route open: the phone's position, so the shop can see where deliveries are and show proof of delivery. |
3. Where it is kept
- On the device first. The POS keeps its data in the browser or app storage of the computer, tablet or phone it runs on, so the shop can keep selling without the internet.
- In the shop's own cloud account, if the shop turns cloud sync on. Then a copy is kept in the shop's own database project at Supabase, so several screens and phones see the same shop and a lost computer does not lose the history.
- Backups the shop chooses. The shop can save backup files to a folder on its computer, or export its data.
4. Who else handles it
Only the services the shop turns on, and only what each needs to do its job:
| Service | Why | What it receives |
|---|---|---|
| Supabase | Hosts the shop's cloud copy and sign-in. | The data in section 2 that the shop syncs, and staff sign-in details. |
| Twilio | Sends and receives text messages (ready for pickup, reminders, replies). | The customer's phone number and the message text. |
| Email delivery | Sends emails such as receipts and ready notices. | The customer's email address and the message. |
| Stripe | Takes card payments at a card reader and for cards saved on file. | The card details go from the card reader or Stripe's own page straight to Stripe. The POS only gets back the result, the brand and the last four digits. |
| OpenStreetMap | Draws the delivery route map. | Your device's internet address and the part of the map being shown. No customer names. |
| Your browser's push service | Shows notifications if staff turn them on. | A device address and the notification text. |
We do not sell personal information, and we do not share it for advertising.
5. Permissions on a phone, tablet or computer
- Camera to take garment photos and scan barcodes.
- Location in the driver screen, only while a route is open.
- Notifications if staff turn them on.
Each is optional, asked for when first needed, and can be turned off in the device's settings.
6. Texts and emails
Customers get marketing messages only if they agreed. Every marketing email has an unsubscribe link, and a text reply of STOP ends texts. Messages about an order (for example "your clothes are ready") are sent because of the order.
7. Keeping and deleting
The shop keeps order history for as long as it needs it to run the business and meet tax and legal duties. A customer can ask the shop to correct or delete their information by telephone or in person; the shop can edit or remove a customer in the POS, and erase all data from Settings. Payment records may be kept where the law requires.
8. Security
- Staff sign in with a PIN, and each role sees only what it needs. Refunds and voids can require a manager's approval and are logged.
- Information sent between the POS and the cloud travels over encrypted connections (HTTPS).
- Secret keys for texting and card payments are kept on the server, never in the POS screens.
- No system is perfectly secure. If something happens that affects your information, the shop will tell the people affected as the law requires.
9. Children
The POS is for shop staff and is not aimed at children. The shop does not knowingly collect information from children under 13 other than what a parent gives when dropping off an order.
10. Your choices
Depending on where you live you may have the right to see, correct or delete your information, or to opt out of marketing. Ask the shop (contact below). You can stop texts with STOP and emails with the unsubscribe link at any time.
11. Changes to this policy
If this policy changes, the new version is posted here with a new effective date.
